Trace every plaintext copy created by editing, export and sync
Spreadsheet programs and cloud services can create downloads, temporary files, recovery data and synchronized copies. Cleanup must be evidence-based and must not destroy the only recoverable record.
After migration, the reviewer checks the original folder, Downloads, cloud sync clients, recent exports, email attachments and offline devices. Microsoft documents that Excel writes a temporary file during some saves, so the team also accounts for interrupted-save remnants.
Use a controlled sequence
- 01List every export, copy, attachment, recovery file and synchronization location created during migration.
- 02Close applications and verify the encrypted destination and backup first.
- 03Remove sharing links and revoke source access where authorized.
- 04Use an approved deletion or sanitization method appropriate to the media and policy.
- 05Re-scan the documented locations and record exceptions.
Leave evidence without copying secrets
Keep the location, copy type, owner, cleanup authority, method, verification, exception and follow-up date. Never publish sensitive paths or values.
Pause and review when
- The team deletes only the visible source workbook.
- An interrupted save leaves an unexplained temporary file.
- A cloud client recreates a file after local deletion.
Encrypted files are not a password manager
Encrypted-file storage is not password autofill, browser sync or a general credential manager. Match the system to the user task and test recovery before removing the source.
Run the final independent check
Before declaring plaintext cleanup complete, compare the cleanup log with the inventory and with every transfer made during migration. Check local and synchronized recycle locations, downloads, email attachments, recovery folders and removable media according to policy. Preserve legal or operational holds. Where deletion cannot be verified, document the residual copy, restrict access and assign an owner and deadline instead of recording a false clean result.
Resolve these before acting
Why can deleting one file be insufficient?
Exports, email attachments, synchronization, temporary saves, backups and recovery features may leave additional copies.
Does an empty recycle bin prove sanitization?
No. The correct method depends on the media, sensitivity and organizational policy.
