Create a recoverable encrypted archive without creating new leaks
A retained file-based archive may be appropriate for limited records, but it needs a separately protected backup, documented custody and a tested restore. Synchronization alone is not an independent backup.
The migration owner exports a final archive, encrypts it, stores one controlled working copy, and places a separately protected backup on offline media held by a recovery custodian. A sample restore confirms readability before the source is retired.
Use a controlled sequence
- 01Create the export in an approved isolated working location.
- 02Verify record count, ownership and intended destination before encryption.
- 03Encrypt the final archive and record its format, version and custodian.
- 04Create a separately protected offline backup under distinct custody.
- 05Restore a harmless representative copy and verify that files open before deleting any source.
Leave evidence without copying secrets
Document archive identifier, source snapshot, destination, encryption product and version, backup medium, custodians, restore result and next test date—never the secret itself.
Pause and review when
- The encrypted archive and backup reside in the same synchronized folder.
- Only one person knows how to restore it.
- The source is deleted before destination completeness is verified.
Encrypted files are not a password manager
Encrypted-file storage is not password autofill, browser sync or a general credential manager. Match the system to the user task and test recovery before removing the source.
Run the final independent check
Before retiring the source, perform the restore from the separate backup using the named recovery custodian and documented procedure. Confirm file count, format, readability and the ability to identify the authoritative snapshot. A successful copy operation is not a restore test. Capture the date, environment and result, then correct any dependency on the original workstation, undocumented path or one person’s memory.
Resolve these before acting
Is cloud sync a backup?
Not by itself. Synchronization may propagate deletion, corruption or unwanted changes. Test versioning, separation and restoration.
When can the source spreadsheet be removed?
Only after authorized validation, recovery testing, hold review and a complete cleanup plan for every derivative copy.
